Licensing Administrator/Coordinator

We are looking for an experienced Licensing Coordinator to assist in the daily management of a large fashion retailer.  Bioworld International is based in Hinckley on the same site as NJ Screen Prints, the UK’s leading volume screen printer of garments to retail and trade.  Bioworld International is a joint venture with a leading US licensed goods business which is expected to drive significant growth opportunities in both licensed apparel and accessories across Europe to existing and new customers.  NJ boasts leading edge printing technology and excellent relationships with high street retailers and the major supermarket brands, NJ is a growing business that has doubled its turnover over the last two years.  Employing around 18 staff in Bioworld Int and around 172 in NJ, both businesses are focused and committed to leading edge design, quality and customer service. 

The Licensing admin / coordinator is responsible for providing support to the Bioworld Merchandising team and to secure positive licensed product approval. This role requires an experienced, enthusiastic and self-sufficient licensing co-ordinator/approvals co-ordinator.  You must be comfortable delivering in a fast-paced environment and working to short lead times, an accomplished organiser who can manage multiple samples, across a range of customers, products and timescales, working to deadlines with a high level of accuracy and attention to detail.  This role demands a highly organised and self-motivated individual who can manage their time whilst offering flexibility in what is a demanding, customer led environment.  Using your excellent communication skills, you will be responsible for the licensor approval, all licensed samples and components. Working with all areas of the business from the Commercial Sales team, to Production and Designers; excellent interpersonal skills are essential to your success.  You will be fully competent in the use of IT software.

The key responsibilities of the role include the day to day contact with licensors; responding promptly to communications and taking appropriate actions to ensure all needs are met; ensuring clarification of the needs, completion of documentation and system data entry; working closely with the Sample Administrator to prioritise samples.  Ensure all samples are followed up with the licensor to understand requirements; or where not approved, gaining feedback on the reason for future approvals.  Other tasks include:

  • Concept approvals – submitting and feeding back to design
  • Chasing for updated style guides
  • Querying new techniques and new methods of working with licensors
  • Sending, photographing and labelling of samples to be sent to the licensor
  • PP sample feedback – liaising with separators and designers to amend artwork if required
  • Approval of packaging to production
  • Liaising with licensors on new properties to obtain new licenses
  • Filling out forecasts on behalf of sales on for current licensors
  • Submitting proposals for any new licenses
  • Being the point of contact for US licensing:
  • Uploading of artworks
  • Sending samples
  • Communicating any questions to the individual licensing managers in the US

Maintaining updated and accurate licensing spreadsheets for Bioworld, Bioworld license approvals and Bioworld licenses that we hold rights to sell and a key release schedule relating to the licenses that we have.You must be numerate and very well organised; your communication skills will be excellent and you will have the ability to work to critical deadlines, be able to prioritise when required and work without constant direction.  Experience of Licensor processes and using critical paths are required.  You must be Excel literate and diary management will be a daily tool.  If you cope well under pressure and thrive on change and variety this could be the role for you.If you feel you have the skills and experience that we are looking for please send your CV with a covering letter outlining why you are the right candidate for the role.
